The high manual maintenance effort of derived roles during organisational changes bothers you? Use the variants presented in this tip for mass maintenance of role derivations. Especially in large companies, it often happens that a worldwide, integrated ERP system is used, for example, for accounting, distribution or purchasing. You will then have to limit access to the various departments, for example to the appropriate booking groups, sales organisations or purchasing organisations. In the permission environment, you can work with reference roles and role derivations in such cases. This reduces your administrative overhead for maintaining functional permissions and reduces the maintenance effort for role derivations to adapt the so-called organisational fields. However, maintaining the organisational fields can mean enormous manual work for you, as the number of role derivations can become very large. For example, if your company has 100 sales organisations and 20 sales roles, you already have 2,000 role outlets. Here we present possible approaches to reduce this manual effort.

Running the system trace for permissions gradually for each application server is tedious. We will show you how to record permission checks on multiple servers at the same time. If you want to use the System Trace for permissions in a system with multiple application servers, you should note that the Trace can only log and evaluate data per application server at any time. Therefore, if a permission error occurs, permission administrators must first check which application server the user is logged on to with the permission issue and then start the trace on that application server. Using eCATT to maintain roles
A mass rolling out of rolls is a very useful thing. It is also possible to use Excel-based data - as in the case of the outlined application case with eCATT - because it is a one-time action for the roles considered and SAP standard programmes are used in the background. However, ongoing maintenance of the permissions system, with continuous changes to roles and their detail permissions, requires the mapping of much more complex operations. An exclusive control over Office programmes should be well considered. This does not mean, of course, that there are not very good partner products for the care of roles. Simply verify that SAP standard procedures are used and that authorisation is managed in accordance with SAP best practices.

When pasting permission field values from the Clipboard, the values are added to the existing entries. You must also separate the value intervals when inserting with the help of the tab stop. If permissions for the individual values do not exist for maintenance, they are rejected, i.e. not taken over. The Insert function from the Clipboard is also available in the dialogue box for maintaining the organisation levels. The Copy to Clipboard and Paste from Clipboard functions are not available if you maintain field values that allow only the selection of fixed values. For example, this is the case in the Activity field.
